Operations
How to evaluate villa operations software
A useful software review follows one real working day. Start with an upcoming departure, the next arrival and a maintenance issue. Ask how the team assigns, completes and checks the work across those events.
Start with the booking source
Confirm which system owns reservations and availability. HostPilot Pro currently works around Hostaway; Guesty and Lodgify adapters are planned. Ask the team to demonstrate your required connection before agreeing a rollout. A portal demonstration does not establish that a booking integration is live.
Follow a task through completion
Review who receives the task, which villa it belongs to, the deadline and the expected evidence. Then inspect a completed example: photographs, timing and the person responsible for checking the result. Decide what your company considers complete before configuring the workflow.
Review access with each team
Walk through the experience as an operations manager, field worker and property owner. Check what each role can see, how someone finds their next job and how a problem returns to a manager. A dashboard is useful only if the right people can complete their daily work.
Agree a limited first rollout
Choose the properties, team members and workflows to review first. Record connection requirements, training needs and who approves readiness. Compare results using your own records rather than assuming that another operator’s experience predicts yours.
