Planning a villa changeover workflow
A changeover connects a reservation with physical work at the property. The plan needs to account for the previous checkout, the next arrival and the time available for cleaning, inspection and necessary repairs.
Make the timing explicit
Confirm checkout and arrival information with the reservation source. Assign the property, responsible team and expected completion time. Make linen or special preparation requirements visible to the people doing the work.
Define the evidence required
Agree which areas need checks and photographs, and who reviews the finished villa. A checklist records the work expected; the completion record should explain what was actually done and which exceptions remain.
Give exceptions an owner
A damaged item, missing linen or maintenance problem needs a named person to decide the next step. Keep repair approval and additional cost separate from cleaning completion. Escalate anything that could affect readiness before the guest arrives.
Review the whole handover
Follow the process from reservation through the field task to the final readiness decision. Use the HostPilot Pro Ops and Field demonstrations to discuss the workflow, then confirm your team’s required configuration. Fictional demo records are examples, not proof of a completed guest changeover.
